A photo booth for trade shows: collecting contacts on the show floor

A photo booth for trade shows: how it collects visitor contacts, what to check on Wi-Fi, consent and export, and when renting beats buying.

Last materially reviewed 2026-10-03

Quick answerA photo booth for trade shows gives visitors a branded photo in exchange for a name and email address. For one show, compare a rental kit with a short software subscription. MoveBooth documents both, but it is iPad only, does not print, and exports leads as a CSV file.

What a photo booth for trade shows is used for

On a trade show stand, a photo booth has one job beyond entertainment: it gives visitors a reason to hand over contact details. The visitor takes a branded photo, enters a name and an email address or phone number, and receives the picture by email or text. The exhibitor keeps the contact.

It sits beside badge scanning. It does not replace it. A badge scan records who stopped by. A booth photo records who chose to type in an address, and it sends them something with your branding on it.

This site has not run a booth at a show. The points below come from vendor pages read on 3 October 2026, and no attendance or conversion figures are claimed here.

What to check before the show opens

Show floors are hard on any app that depends on a connection. Ask the vendor these questions in writing.

  • Connection: does capture continue when Wi-Fi drops? MoveBooth lists offline mode on all plans, with delivery queued until the connection returns. Its help center adds that the booth must have been online before the drop. Snappic lists an offline queue, and Breeze Booth describes fully offline operation. See photo booth apps that work offline.
  • Form fields: which fields can you ask for, and can each be optional? A long form slows the line.
  • Devices: is the license per device? MoveBooth allows one active iPad booth per license, so two stands need two plans.
  • Export: when and how do you get the list? Decide who imports it and by what date.
  • Photos: do you need a print in the visitor's hand, or is a digital copy enough?

Rent a kit or subscribe for a month

For a single show, the choice is usually between a shipped rental kit and a one-month software plan on an iPad you already own. Prices are as read on 3 October 2026 and can change.

MoveBooth rents a kit with a pre-installed iPad, stand and ring light. The Plus tier, which includes lead capture, is $599 per day or $1,199 per week. The daily rate covers rentals of one or two days, and the weekly rate applies from three days. Round-trip shipping is extra, rentals ship to the lower 48 US states only, and they must be booked at least 10 days ahead.

Subscribing instead costs $149.99 per month for Plus. You supply the iPad and a stand. The software trial is 7 days, needs a payment method and converts to a paid plan unless cancelled. The app is distributed through Apple's TestFlight, so request the install link well before the show.

  • Curator Live: per-event pricing from $29 per event on Standard, on iPad and iPhone. Its pricing page lists analytics and reporting. A lead form is not documented in the pages read.
  • Simple Booth: weekly billing exists on lower tiers, but data capture forms start at Pro ($149/month).

Consent on a business-to-business stand

Exhibitors sometimes assume business contacts are exempt from email rules. The Federal Trade Commission's CAN-SPAM guide for business says the law makes no exception for business-to-business email. It also lists a clear opt-out in every marketing message and prompt handling of opt-out requests among its requirements.

In practice, tell visitors on the form what they will receive after the show. Keep the export, including the date each person agreed. Many shows draw international visitors, and other countries have their own rules that this page does not cover. This is general information, not legal advice. The lead capture software guide covers consent and export in more depth.

Where MoveBooth fits on a show floor, and where it does not

MoveBooth positions itself at brand activations, corporate events and trade shows. Plus collects name, email and phone. Pro adds ZIP code and date of birth, plus custom terms text in the share form. Photos go out by email or SMS.

The main limitation for exhibitors is the handoff. MoveBooth has no native CRM or API integrations at any tier, so leads reach your CRM through a CSV download and a manual import. It also runs on iPad only. No independent reviews of MoveBooth were found. The MoveBooth lead capture page lists each field and plan.

When another setup suits the stand better

MoveBooth is the wrong pick for some stands, and its own comparison page says so.

  • You want a printed photo in the visitor's hand: MoveBooth supports no printers. Look at apps that print.
  • You want a 360 platform, slow motion or green screen as the draw: MoveBooth lists none of them. Snappic offers 360 from its Business plan ($189/month).
  • You run Windows or Android hardware: MoveBooth is an iPad app.
  • The show is outside the contiguous United States: MoveBooth's rental kit and kiosk do not ship there. The vendor says the app works on any iPad, but availability outside the United States is not stated on the vendor's pages.
